        Read this first. This guide covers VeritSpace prices, RAM and storage rules, and what to post in the billing group. VeritComplete resource rules are included where they match VeritSpace.

        1. Onboarding and Setup Fees

        Every plan also carries the $100 per month dedicated server charge. Annual billing saves 5 percent.
        NVMe is a fast solid-state disk. An app slot is one application we install for the firm, such as Drake or QuickBooks.

        3. Add-Ons

        4. What Every Plan Includes

        • 24/7 support, under 1 minute response time
        • 100 percent uptime SLA. SLA means our written uptime promise.
        • Backups three times a day
        • IRS Publication 4557 and FTC Safeguards compliance
        • 256-bit encryption and 2FA/MFA. This is a second login step, such as a code on the phone.

        5. RAM Allocation Rules

        RAM is the server memory. Each plan gives a base amount for the first user. Add RAM for every extra user.

        7. Legacy Plans: SOLO, Small Team, Custom

        Important. The rule of base RAM plus 1 GB per user does not apply to legacy plans. Use the rules below instead.
        • When 4 to 5 users are added, add 1 GB RAM per user.
        • RAM is not added automatically from our side for these plans.
        • Drake Tax / QuickBooks: 1 GB RAM per user.
        • UltraTax: 2 GB RAM per user.

        8. When We Find a Resource Crunch

        A resource crunch means the server is short on RAM or storage.

        Step What to do
        1. Check the plan Always look at the client's plan first.
        2a. Plan is Elite Add as much RAM as needed. Do not inform the client or billing. Note the RAM increase in the resources chat.
        2b. Plan is not Elite Check if the client has special pricing. Recommend the right resources. Share the price with the client.

        When the Client Reaches Out

        • RAM request: check the plan first, then reply.
        • Storage request: check for special pricing first, then share the price.

        9. Page File Guideline

        The Page File is a Windows file on disk that works as extra memory. If the C: drive is low on space, move the Page File to another drive. For example, a 10 GB Page File can sit on another suitable drive instead of using space on C:.

        10. General Billing Policies

        • Contract: month to month. No long-term contract is required.
        • Annual billing: saves 5 percent.
        • Setup fee: $500, one time.
        • Refund: 30-day money-back guarantee.

        11. Billing Updates

        Finish all related tasks first. Only then post the update in the billing group.
        • Update the billing group as soon as RAM, storage or an app slot is added or removed.
        • Update the billing group even if the invoice is already updated. Say the invoice is already done and state the new total resources.
        • For Elite plans, adding an app or RAM does not need a price check with Billing. Billing and CRM must still be updated every time an application is added.

        12. Offboarding

        If a client asks to offboard the whole organisation, do not send the offboarding link directly. Send the request to the billing team. Send the client an acknowledgement in the meantime.
